How it works.
From the booking engine to the VAT invoice. What each part of Rentiqly does, and how it fits with the others.
The booking engine. Try to double-book it.
Availability is worked out by the hour, with a cleaning buffer after every return. While a customer pays, a short hold keeps the unit for them. If two people try for the last one, the second is told before they pay.
The rule lives in the database, not in the browser. Three staff, two tabs and the web store can all try at once, and only one booking wins. If a unit goes missing, an equivalent one is swapped in automatically.

Catalogue: one product, three modes
Every product can be rented, sold, or both. Families hold the description and photos, variants hold sizes and colours, units are the individual items you rent out.
- Rental prices by the hour, day or week, with the best price picked automatically
- Retail stock counted per location
- Kits that are available only when every part is
- Nested categories, specifications and photo galleries
- Import and export everything as CSV
Deposits, card or cash
Hold a deposit on the customer's card at pickup, or take it in cash or by bank transfer. When the item comes back, damage is confirmed by a person, never charged automatically.
- Card holds through your own Stripe account
- Capture only what the damage costs; the rest is released
- Holds that are about to expire are released automatically
- Cash and transfer deposits in the same ledger
Returns and inspections
Each category has its own checklist, so staff check the same things every time. Mark the condition at handover, and the return shows only what changed.
- Checklists per category, inherited by subcategories
- Condition photos at handover and return, deleted after your retention period
- Late fees after a grace period you choose
- Units that need work go straight to the workshop
Deliveries and collections
Customers pick a pickup location or enter an address. Delivery is priced by postcode zone, booked into a time window, and handed to a driver.
- Zones with their own fees, overridable per order
- Delivery time blocks the item for the whole trip
- Drivers see their runs on the phone
- Collections close the loop on the same order
Your storefront, three ways
Customers book and buy online through a store you own. Use the hosted store on your own domain, drop a widget into the website you already have, or build your own front end on the API.
- Hosted store with your domain and certificate
- Embeddable widget for WordPress and any other site
- Headless API for catalogue, availability, holds and checkout (Pro)
- Guest checkout, or customer accounts with order history
The counter
Walk-ins are served at the point of sale. Scan a barcode to add an item, put a rental on the same receipt, and take card or cash.
- Barcode scanning on every variant
- Rentals and sales on one receipt
- Coupons and trade discounts
- Manual orders for phone and email bookings
Payments and VAT invoices
Payments go straight to your Stripe account. Every sale and rental gets a VAT invoice numbered in your own series, locked once issued, with credit notes for corrections.
- Rent and sale lines with their own tax rates
- Cross-border sale tax rates
- Tiered cancellation and no-show rules
- Refunds back to the original payment
Workshop and purchasing
Units that need work get a work order. Preventive service blocks a unit before it fails, by number of hires or by hour-meter readings. Parts come out of the same stock the counter sells from.
- Work orders and service history per unit
- Preventive maintenance rules
- Suppliers and purchase orders
- Hour-meter and other readings by hand, CSV or API
Your team and roles
Owner, manager, staff, driver and accountant each see what they need and nothing more. Invite people by email; two-factor sign-in can be required for everyone.
- Five standard roles in every plan
- Custom roles and single sign-on on Pro
- Staff two-factor authentication
- An activity history for every change
Reports and exports
Revenue, utilisation against opening hours, deposits, balances, conversions and tax, ready when you need them. Export anything to CSV. Pro adds dashboards for top products and customers.
- Utilisation measured against your opening hours
- Rent-to-buy conversions tracked
- Tax reports for your accountant
- CSV export of every record
